OpenLedger ("we," "us," or "our") provides a deliverables-based project collaboration platform that helps clients and contractors agree on scope of work and track completion of agreed deliverables. This Privacy Policy explains what information we collect, how we use it, and the choices you have.

OpenLedger does not process payments or hold funds on behalf of users. We help teams define and track deliverables; any payment arrangements happen directly between the parties involved.

2. Information We Collect

Account Information
When you create an account, we collect your name, email address, and password (stored securely, not in plain text).

Project and Deliverable Data
Information you or your collaborators enter into the platform, including project names, scope of work descriptions, deliverable details, statuses, timelines, and any files or notes attached to a project.

Usage Data
We use Google Analytics to understand how the platform is used, including pages visited, time on site, and general navigation patterns. This data is aggregated and does not directly identify you.

Communications
If you contact us, or if we send you account-related emails (such as signup confirmations) through our email provider, we retain records of those communications.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the platform
• Create and manage your account
• Enable project sharing and collaboration between users with appropriate role-based permissions (owner, contributor, viewer)
• Generate PDF exports of your project data at your request
• Send account-related emails, such as setup confirmations
• Understand usage patterns so we can improve the product
• Respond to support requests
• Maintain security and prevent misuse of the platform

4. Legal Basis for Processing (for users in the UK/EU)

Where applicable, we process personal data on the basis of:

• Performance of a contract (providing you the service you signed up for)
• Legitimate interests (improving and securing the platform)
• Consent (where you've given it, such as for certain analytics or communications)

5. Sharing of Information

We do not sell your personal information. We may share information with:

• Other users you invite, based on the permissions you assign to them within a project
• Service providers who help us operate the platform, such as our hosting provider (Render), database provider, and email delivery provider (SendGrid), under agreements that require them to protect your data
• Legal or regulatory authorities, if required by law

6. Data Storage and Security

Your data is stored on PostgreSQL databases hosted via Render. We take reasonable technical and organizational measures to protect your information, including access controls and authentication safeguards. However, no system is completely secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your account and project data for as long as your account is active, or as needed to provide the service. If you delete your account, we will delete or anonymize your personal data within a reasonable period, except where we're required to retain it for legal or regulatory reasons.

8. Your Rights

Depending on where you're located, you may have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request deletion of your data
• Object to or restrict certain processing
• Request a copy of your data in a portable format
